Agree what will move

List the records you want to retain: patients, prescriptions, outstanding balances, medicine batches, supplier dues and historical reports. Keep a secure export or backup of the old system. Ask support to review a sample and confirm which records can be imported, in which format, and at what cost. Do not assume every old spreadsheet or database can be uploaded directly.

Prepare pharmacy opening stock

Use SihatSuite's stock-import spreadsheet template. Match each medicine to the correct brand, strength and pack. Check batch numbers, expiry dates, quantities and acquisition costs against the shelf and supplier records. Include free units and discounts in the cost review. Enter non-medicine products using their proper product details instead of disguising them as drugs.

Run a small import first

• Start with a small group of representative products, including multiple batches and loose-tablet selling.
• Read the import errors and correct the source rows before retrying. Avoid uploading successful rows again without checking for duplicates.
• Compare stock quantities and values to the source and the physical shelf.
• Make a trial sale and return, then confirm how stock and accounts change.

Prepare people and printers

Create individual logins with the permissions each role needs. Set up the doctor's letterhead and chamber details, test the counter's printer, and confirm which devices will be used. In a lab, verify investigation prices, report templates and approval responsibilities. A pre-loaded catalogue still needs your business's prices and workflow checked.

Choose a cutover point

Agree a final stock count and opening balance, decide when the old system stops recording new work, and assign someone to reconcile the first day. Registration is reviewed before activation; confirm that date with support before announcing a launch. Keep historical backups accessible to authorised staff according to your agreed retention policy.
